How Much Does Marketing Automation Cost for an HVAC or Plumbing Company?

Real price ranges for marketing automation in home services: setup fees, monthly costs, software, and how to tell whether it will pay for itself.

Most marketing companies won't tell you what they charge until you're on a sales call. That's frustrating when you're just trying to figure out whether something is worth looking into.

So here's the honest answer for home service companies in Texas: done-for-you marketing automation usually costs a one-time setup fee of about $1,500 to $4,000, plus $750 to $2,500 a month, depending on how much you want built and run for you. Software is usually a separate, smaller bill.

The rest of this post explains where those numbers come from, what moves them up or down, and how to tell whether it will pay for itself in your business.

What you're actually paying for

Marketing automation isn't a product you buy off a shelf. It's a set of systems someone builds and then keeps running:

  • Speed-to-lead. Every new lead gets a personal text within a minute, day or night.
  • Open-estimate follow-up. Unsigned estimates keep getting worked for weeks instead of dying after one voicemail.
  • Review requests. Customers get asked for a Google review right when the job is done and they're happiest.
  • Outbound campaigns. Your past customers, aged leads and maintenance-due lists get contacted on purpose instead of sitting in your CRM.
  • Email marketing. Newsletters and seasonal campaigns that keep your name in front of people who already know you.
  • Reporting. Numbers that show which campaigns produced booked revenue, not just opens and clicks.

You pay for two things: the hours it takes to build those systems, and the hours it takes to keep them running and improving every month.

Typical price ranges

What you getTypical setupTypical monthly
The basics: lead response, estimate follow-up, review requests$1,000 to $2,000$500 to $1,000
Basics plus monthly campaigns to your customer list and an email newsletter$2,000 to $3,000$1,000 to $2,000
Everything above plus connected systems, revenue dashboards and more campaigns$3,000 to $5,000+$2,000 to $3,500

For comparison, full-service home service marketing agencies that also run your ads, SEO and website commonly charge $2,500 to $12,000 a month. Hiring someone in-house to manage your CRM and campaigns usually runs $5,000 or more a month once you count salary. At the other end, a freelancer on an hourly marketplace might charge $50 to $150 an hour, but you'll be the one managing the project.

What makes the price go up or down

How much is built at the start. A single estimate follow-up sequence is a few hours of work. A full system with lead nurture, customer segments, email templates and reporting is several times that.

How many campaigns run each month. Writing, building and sending one campaign a month is very different from running two plus a newsletter.

How messy your data is. If your customer list has duplicates, missing phone numbers and ten years of inconsistent job types, cleaning it up takes time before anything can be sent.

How many systems need to talk to each other. Connecting your CRM to your phone system, web forms and accounting adds hours, but it's also what makes the reporting trustworthy.

The software bill

Most automation needs texting and email software underneath it. For a typical home service company that's usually $50 to $300 a month, depending on list size and how many texts you send. Some CRMs include part of this already.

Ask any provider whether software is included in their price or billed separately. Neither is wrong, but you should know what you're comparing.

Will it pay for itself?

This is the only question that really matters, and you can answer it with your own numbers.

Take your open estimates. Say you write 30 replacement estimates a month at an average of $11,000 each. If better follow-up lifts your close rate by just 5 percentage points, that's 1.5 more signed jobs, or roughly $16,500 more revenue a month. Industry benchmarks suggest structured multi-touch follow-up can do better than that, but even the conservative version pays for most plans many times over.

The same math works for past customers. Getting a past customer to book again costs a fraction of what you pay to win a new one through ads, and they already trust you.

If your numbers are much smaller than that example, start with the basics and grow into more once you see results.

Questions to ask before you hire anyone

  1. What exactly gets built during setup, and how long does it take?
  2. What happens every month after that? Look for specific deliverables, not "ongoing optimization."
  3. Is software included or billed separately?
  4. How long is the contract? A short minimum followed by month-to-month is a good sign the provider expects to earn your business.
  5. How will we know it's working? You want reporting on booked jobs and revenue, not just open rates.
